DEPOSIT
All events require 50% to be paid at least 30 days before the event date unless otherwise stated.
The deposit will not be returned if the event is cancelled within 90 days of the final event date.
The deposit will need to be paid either in cash or by bank transfer. The remaining balance will be due 7 days prior to the event.
If you are unable to pay the invoice within the 30 days following the sent date, please contact us on the phone number provided or through a social media channel to explain the situation so one of our team members can help to amend any issues with the quote.
Ice Bar Cocktails does not accept any liability for any failure to provide our services which is due to circumstances beyond our control, such as extreme weather conditions, vehicle road traffic collision/breakdown, fire alarm evacuation, electricity, water failure or an “act of God”.
VENUE REQUIREMENTS
We work under the assumption all venues of your choice will have adequate power supply, lighting, and spacing, and be in a suitable state for the team to complete the set up, provide the service, and clear away after the event has ended.
We will have glassware hire as standard in all quotes, unless stated that the hirers venue will supply glassware. Ice Bar Cocktails cannot accept any liability for injuries or damages which may occur because of using glass. All lost or damaged glass must be paid for and will be charged to the client after the event. It is the hirers responsibility to let us know in advance if the venue will supply suitable glassware. The cost per broken glass is £3.10. The only glassware we will provide is cocktail glassware unless a prior agreement has been reached before the event. All other glassware must be provided by the venue or your choice of caterer. Should you require additional glassware from us directly, a charge of £3.50 per person will apply.
The bartending team will require access into the venues kitchen areas for use of storing ice and other beverages that will need to stay frozen throughout the event. This is including access to the washing up area for clean up after the event is finished.
Ice Bar Cocktails will act on behalf of the client in all discussions and license applications with the local Council and venue. We cannot guarantee that a license and/or opening times required will be granted as the final decision rests with the local licensing authorities. If a license is refused, all fees minus the license application fee will be returned.
We are only able to provide tap water where it is reasonably available, and this can differ from venue to
venue. As a mobile bar we do not carry plumbing and taps so it is not readily available. If the venue has the facilities available, then we are happy to service the request.
BAR, STAFF, AND TRAVEL
The fully stocked bar comes inclusive of staff. Cocktails and any additional requests must be agreed prior to the event and may result in a change to the quote.
Bar opening hours and set up and clearing away times must be agreed beforehand with sufficient time allowed to set up and pack away and vacate the venue after the event.
You must inform us of any time restrictions, parking restrictions, or parking height restrictions. We require two hours to set up the bar and two hours to clear away. We assume the hirer to liaise with the venue to ensure it is open and in a suitable state for the bars to be set up as we except no responsibility for delays. If this is not the case and require us to liaise with the venue, please make the team aware of this beforehand.
A mileage charge may be incurred for events outside of the catchment area covered (West Midlands area); this will be agreed at the time of booking.
Drinks arranged by either you or another provider are permitted throughout the event, however the stock that is being used by the bar is to stay with the bartending staff throughout the event.
We are responsible for the operation of your bar. Therefore, the premises used for the event including marquees or private houses will have been licensed to permit the serving of alcohol for the duration of the event. If the premises holds no license in accordance with the licensing act 2003, we will need to apply for a Temporary Events Notice which must be agreed at a time of the booking and we will carry a copy of the license with us. This may occur additional costs.
The opening times of the bar must be agreed prior to the event, any additional time may be subject to an additional charge. Ice Bar Cocktails will not serve large rounds of drinks at the bar for tabs & pre-paid drinks packages, this is to prevent unnecessary wastage & so bar staff are able to judge the intoxication of guests. Anyone who appears to be under the age of 25 will be asked for ID. We reserve the right by law to refuse service to anyone who appears to be overly intoxicated. This is up to the discretion of the staff on the day at the bar in line with current licensing laws. Staff also reserve the right to refuse service if there is unnecessary wastage of drinks where drinks are being repeatedly ordered at the bar but not being drank by patrons.
Ice Bar Cocktails is not liable for any accidents, injuries, harm to health or in extreme circumstances, death that occurs at the event following consumption of alcohol served.
